VENDOR/ EXHIBITOR REGISTRATION FORM

ATTENTION: PLEASE READ

Location This Year:

98 Ben Venue Road Flint Hill, Virginia

THERE WILL BE A $50.00 REGISTRATION FEE CHARGE FOR ALL NON PROFIT ORGANIZATIONS PAID PRIOR TO 6-20-22.

AFTER 6-20-22 THE LATE REGISTRATION FEE WILL BE $60.00. NON PROFIT ORGANIZATIONS WILL HAVE HIGHER PRIORITY OVER FOR PROFIT VENDORS.

FOR PROFIT VENDORS FEES’S WILL BE DETERMINED BY TYPE OF GOOD’S AND SIZE OF OPERATION SUBMITTED FOR APPROVAL BY 4TH JULY COMMITTEE.

YOU WILL BE LIMITED TO SELLING ONLY THE APPROVED ITEMS THAT YOU LIST ON THIS RETURNED REGISTRATION FORM THAT HAVE BEEN APPROVED.

(NO EXCEPTIONS) YOU BE CONTACTED SHORTLY AFTER SUBMITTING YOUR FORM OF APPROVAL.

I WILL BE AVAILABLE TO MEET ON MONDAY JUNE 27TH 2022 BETWEEN 5:30 & 7:30 PM AT THE SPERRYVILLE VOL FIRE DEPT. (11871 LEE HWY SPERRYVILLE)TO GO OVER FINAL DETAILS AND TO MAKE SURE THERE IS AN UNDERSTANDING OF THE VENDOR REQUIREMENTS.

ONE REPRESENTATIVE FOR THE VENDOR MUST ATTEND MEETING FOR FINAL APPROVAL OF VENDOR AND TO RECEIVE VENDOR STAFF TICKETS UNLESS PRIOR ARRANGEMENTS HAVE BEEN MADE.

YOU WILL NEED TO SIGN THE FORM AND AGREE TO THESE TERMS, BY DOING SO WE CAN MAKE SURE WE DON’T DUPLICATE VENDOR ITEMS.

THIS WAY EVERYONE CAN HAVE A PROFITABLE EVENT.

YOU WILL BE RESPONSIBLE FOR YOUR SETUPS, TENTS, TRASH (DUMPSTER ON SITE) AND POWER REQUIREMENTS (GENERATORS MUST BE QUIET RUNNING SO AS NOT TO DISTURB OTHERS). SETUP’S MUST BE COMPLETED BY 2 PM AS THERE WILL BE A SPECIAL VENDOR GATE THAT WILL BE OPENING AT 1PM TO 2 PM FOR SETUP. VENDORS CAN SETUP THE EVENING BEFORE IF THEY WOULD LIKE IF THEY MAKE A REQUEST

THE GATE WILL BE MANNED DURING THE DURATION OF THE EVENT FOR VENDOR’S ACCESS ONLY FOR EXTRA SUPPLIES BY VENDOR STAFF WITH VENDOR PASSES ONLY.

YOU WILL BE ALLOWED ONLY (ONE) VEHICLE WITH YOUR VENDOR STAFF IN THE SPECIAL VENDOR/EXHIBITOR PARKING AREA FOR SUPPLIES. VENDORS/EXHIBITOR SPOTS WILL BE SET UP ON THE PERIMETER OF THE MAIN OPEN FIELD AREA NEAR THE BANDS AND EVENTS FOR BETTER VISIBILITY AND SALES SO THERE WILL BE NO VEHICLES PARKED NEAR YOUR TENT.

WE WILL TAKE SPECIAL CONSIDERATION OF LARGER VENDOR’S TO SITUATE YOUR VENDOR SPOT SO AS TO MAKE YOUR SUPPLIES AS ACCESSIBLE AS POSSIBLE.

ALL OTHER VENDOR STAFF VEHICLES WITH PASSES ( NUMBER OF PASSES WILL BE DETERMINED BY SIZE OF VENDOR OPERATION) MUST GO INTO THE SPECIAL VENDOR PARKING AREA NEAR THE VENDOR GATE AS THERE WILL NOT BE ROOM IN THE VENDOR EXHIBIT AREA FOR OTHER STAFF VEHICLES.

VENDORS NEEDING EXTRA STAFF PASSES WILL BE ABLE FOR PURCHASE EXTRA VENDOR PASSES

PLEASE UNDERSTAND THAT PERSONNEL WORKING THE VENDOR GATE WILL HAVE A MASTER VENDOR LIST AND WILL ALLOW ONLY ONE VEHICLE DISPLAYING SPECIAL VENDOR PASS & STAFF TO ENTER AND PARK IN THE VENDOR/EXHIBITOR AREA. WE WILL ALLOW OTHER VENDORS VEHICLES WITH PASS TO BRING IN SETUP SUPPLIES IF NEEDED, BUT THEY MUST LEAVE THE VENDORS/EXHIBIT PARKING AREA ONCE SUPPLIES ARE UNLOADED AND PARK IN VENDOR PARKING.

THESE PARKING REQUIREMENTS DO NOT APPLY TO EMERGENCY SERVICES VEHICLES OR LAW ENFORCEMENT VEHICLES THAT ARE ON DISPLAY OR IN SERVICE FOR EMERGENCIES.

Today Friday Jan. 29 2010 , the Sperryville Vol. Fire Dept. was awarded a $40,000 grant minus their 5 % share match for Operations & Safety . This was the 1st round of FY '09 grants awarded by the Federal Emergency Management Agency.
